Most people book a photo booth about 29 days before their event. According to Captured Celebrations' analysis of 13 months of confirmed bookings (June 2025 through July 2026), the median booking lands 29 days out, 54% of bookings arrive within the final month, and 23% are placed with a week or less to spare. Standard planning checklists say three to six months. The data says otherwise.

Those findings were published by Cater+Event, the trade publication from Informa Connect, in a bylined article by Captured Celebrations owner Liz Colón. This post covers what the data showed and how planners can use it.

Captured Celebrations analyzed 13 months of confirmed bookings, June 2025 through July 2026, anonymized, with the methodology published. The distribution:

If a client's vendor list still has a blank next to entertainment a month before the date, that is not a crisis. That is the industry average. The real risk is that everyone waiting until the last month is competing for the same handful of open dates, and in peak season somebody loses that game.

The averages hide the most useful finding. Wedding clients and corporate clients behave nothing alike.

Weddings were the only category in our data booked more than a year in advance. Corporate clients frequently confirm inside two weeks, generally because budget sign-off came through late and somebody needs a vendor by Friday.

For anyone planning corporate events, a shortlist of entertainment vendors who can move fast is worth more than a long timeline nobody follows.

When Events Actually Happen

Saturday still leads at 44% of our events, with weekends taking 62% overall. The surprise was Thursday at 15%, our strongest weekday, ahead of Friday. Corporate mixers, conference receptions, and end-of-week celebrations are turning Thursday into a real event night. For planners that is useful, because weekday dates are easier to secure and vendors have more flexibility.

Season matters more than the day of the week. October through December accounted for 47% of our events, and October alone was close to a quarter of the entire year. A client who wants a fall date and has not booked entertainment by early September is choosing from what is left.

How to Time an Entertainment Booking

Based on the patterns in the data, here is the practical sequence for a planner or host:

  1. Lock the date and venue first. Every other vendor decision keys off these two.
  2. Book entertainment 60 to 90 days out for peak season. October through December is 47% of the calendar, so fall and holiday dates go earliest.
  3. Book 30 to 45 days out for off-peak dates. This matches what most clients already do and is generally comfortable.
  4. Consider a Thursday or weekday date. Thursday is 15% of our events and availability is far better than Saturday.
  5. Ask about add-ons when you book, not after. Audio guestbooks appear in 23% of our events and are easier to add up front.
  6. For corporate events, confirm the vendor's fastest turnaround. If budget approval is still pending, knowing who can sign in 48 hours matters more than a long timeline.

What People Are Booking

Classic open-air booths still led at 46% of bookings. The rest of the mix is where it gets interesting: drop-off self-serve booths at 13%, AI-powered booths also at 13%, trading card booths and studio-style setups at 5% each, and roaming photography at 3%.

The sleeper hit was audio guestbooks. Counting add-ons and standalone bookings together, 23% of our events included one. Guests pick up a vintage-style phone and leave a recorded message, and hosts end up with the one thing a photo strip cannot capture, which is how everyone sounded that night.
