The Conrad N. Hilton Foundation holds a year-end celebration for staff at its headquarters in Westlake Village. The team did not want a standard photo booth in the corner of the room. They wanted something people would talk about, that fit a daytime gathering in a professional workplace, and that carried the Foundation’s identity without turning into a marketing exercise.

A foundation office is a particular kind of room. The booth had to load in and set up cleanly, run for three hours in the middle of a workday, and produce something guests were glad to put on a desk afterward. Anything loud, gimmicky, or slow would have been wrong for the setting.

Setup

AI Print Booth, Three Hours

We brought the AI Print Booth — professional DSLR camera, studio-grade lighting, on-site attendant, and instant prints. Guests stepped up, took a photo, and watched their portrait transform into finished artwork in front of them. Every guest left with a physical print and a digital copy.

Custom Snow Globe AI Design

Rather than use a stock AI filter, we built a custom creation for the event: each guest’s portrait rendered inside an illuminated snow globe, set against a winter landscape with an aurora sky. It read as festive without being tied to any one holiday tradition — an intentional choice for a workplace with a wide mix of staff.

Foundation-Branded Print Template

The print carried the Conrad N. Hilton Foundation logo, the event name, and the date on a deep navy border with snowflake detailing. The branding framed the artwork rather than competing with it, so the finished print looked like a keepsake instead of a handout.

Results

The snow globe design did what a good custom AI creation should do: it gave people a reason to come over. Guests were not queueing for a photo booth, they were queueing to see what they would look like inside the globe. The print became the draw, not the booth.

The clearest measure of how it landed is that the Foundation booked us again. They returned for a second year with the same package and the same rate, and came back asking for a new theme rather than a different vendor.

That second booking also produced the most useful piece of feedback we have had on an AI design. The snow globe worked beautifully for one person and did not hold up for groups — the globe simply could not frame three or four people together. For the following year we rebuilt the concept from the ground up as a group-capable design, and every replacement concept we put in front of the committee had to pass that test before it was offered.

Why Foundations and Nonprofits Get a Different Approach

Foundation events are not corporate parties and they are not weddings. The room is usually professional, often daytime, and the people in it work together. What plays well at a product launch can feel out of place at a staff celebration.

Foundations also tend to have real procurement requirements. This engagement ran through a full legal review, a certificate of insurance naming the Foundation as additional insured with waiver of subrogation and primary and non-contributory language, and contract terms drafted by their counsel. We are set up for that process and we do not treat it as an obstacle.
